Role: Female Support Group Project Administrator
Location: London NW1 and remote working (50/50 split) after 6-month probation period
Salary: £26780 FTE (£21,424 actual pro-rata’d salary)
Start Date: ASAP
Contract: Permanent
Hours: 28 hours per week

Our client, a leading specialist mental health charity for women who have experienced domestic abuse is seeking a skilled and compassionate Counselling Support Group Administrator
Synopsis of Duties
- Be the main contact for all clients, counsellors, professionals, and the public
- Respond to general enquiries (written, phone or email) or forward on to appropriate staff
- Provide referral and general information
- Provide signposting information for women to other service providers
- Maintain a daily log of all calls and emails
- Take referrals over the phone and enter into the database
- Book initial sessions and maintain initial session schedules
- Maintain initial session waiting lists, book appointments, and follow up
- Liaise with clients around attendance, re-book missed/cancelled sessions, send out DNAs within 7 days
- Maintain organisational database
- Ensure all data is received and entered promptly
- Maintain database records and ensure all client data is up to date
- Ensure out of office communication is set around office opening and closing dates
- Upkeeping the administration's most used documents link sheet
- Archive yearly for both counselling and support group services along with Administration duty documents
- Maintain and update office administration systems, identifying and implementing improvements
- Maintain the Support letter procedure, gaining consent and forwarding to the appropriate team member.
- Organise and maintain database, and record systems
- Support general upkeep of the office infrastructure and client spaces
- Support and cover the Counselling administrator's responsibilities
Essential Requirements
- At least 2 years’ experience of office administration and IT systems
- Experience of customer service or working with people
- Experience in the voluntary or charity sector
- Understanding issues of confidentiality
- Understanding and awareness of anti-discriminatory issues and practice
- Clear enhanced DBS on the update service
