Role:               Female Support Group Project Administrator

Location:       London NW1 and remote working (50/50 split) after 6-month probation period

Salary:           £26780 FTE  (£21,424 actual pro-rata’d salary)

Start Date:    ASAP

Contract:      Permanent

Hours:            28 hours per week

Our client, a leading specialist mental health charity for women who have experienced domestic abuse is seeking a skilled and compassionate Counselling Support Group Administrator

Synopsis of Duties

  • Be the main contact for all clients, counsellors, professionals, and the public
  • Respond to general enquiries (written, phone or email) or forward on to appropriate staff
  • Provide referral and general information
  • Provide signposting information for women to other service providers
  • Maintain a daily log of all calls and emails
  • Take referrals over the phone and enter into the database
  • Book initial sessions and maintain initial session schedules
  • Maintain initial session waiting lists, book appointments, and follow up
  • Liaise with clients around attendance, re-book missed/cancelled sessions, send out DNAs within 7 days
  • Maintain organisational database
  • Ensure all data is received and entered promptly
  • Maintain database records and ensure all client data is up to date
  • Ensure out of office communication is set around office opening and closing dates 
  • Upkeeping the administration's most used documents link sheet
  • Archive yearly for both counselling and support group services along with Administration duty documents
  • Maintain and update office administration systems, identifying and implementing improvements
  • Maintain the Support letter procedure, gaining consent and forwarding to the appropriate team member.
  • Organise and maintain database, and record systems
  • Support general upkeep of the office infrastructure and client spaces
  • Support and cover the Counselling administrator's responsibilities

Essential Requirements

  • At least 2 years’ experience of office administration and IT systems
  • Experience of customer service or working with people
  • Experience in the voluntary or charity sector
  • Understanding issues of confidentiality
  • Understanding and awareness of anti-discriminatory issues and practice
  • Clear enhanced DBS on the update service
